Who we are

SpazaStock is operated by KasiBooks (Pty) Ltd (registration number 2025/175445/07), Cape Town, South Africa (the "responsible party" under POPIA). You can contact us, including our information officer, at kasibooks.sa@gmail.com.

What we collect

• Contact details: the WhatsApp phone numbers of shop owners and staff who use SpazaStock, and the name you give your shop.
• Shop records: the products you sell, your prices, stock counts, and the sales you record (items, quantities, prices and times).
• Messages: the messages you send to SpazaStock on WhatsApp, so we can respond and record your sales.
• Language preference, so we can message you in English or isiXhosa.

We do not collect information about your customers.

Why we use it

• To provide the service: record sales, track stock, and send your daily summary and alerts.
• To keep the service secure and fix problems.
• To create combined, anonymised sales statistics across many shops (for example, how many 2L cool drinks sell in an area each week). These statistics do not identify you, your shop or your phone number, and we may share or license them to third parties such as product manufacturers. We only do this with your consent, which we ask for when you sign up.

Who we share it with

• Meta (WhatsApp), which delivers our messages.
• Service providers that host our systems and database, under agreements that require them to protect your information.
• We never sell your personal information, and we never share information that identifies you or your shop without your permission, unless the law requires it.

Information stored outside South Africa

Some of our service providers (including Meta and our database host) may store information outside South Africa. We only use providers that protect information to a standard comparable to POPIA.

How long we keep it

We keep your information while you use SpazaStock. If you stop using it or ask us to delete your information, we delete it or remove anything that identifies you, unless we must keep it by law. Anonymised statistics may be kept, because they cannot be linked back to you.

Your rights

• Ask what information we hold about you, and get a copy.
• Ask us to correct or delete it.
• Withdraw your consent to the anonymised statistics at any time.
• Object to how we use your information.
• Complain to the Information Regulator at inforegulator.org.za.

Keeping it safe

We use reasonable technical and organisational measures to protect your information, including encrypted connections and restricted access to our systems.

Changes

If we change this notice in a way that affects you, we will tell you on WhatsApp before the change applies.
